Information collected

The program collects account and contact details, company identity and authorization, product and formulation information, labels, supporting evidence, disclosures, review correspondence, and decisions. Relevant security and access records help protect the service.

If you order physical items, the order process also collects the information needed for payment processing, personalization, delivery, and customer support. Do not place payment-card details in application documents or inquiry messages.

How information is used

Information is used to check eligibility and authority, assess the product record, manage conflicts, communicate decisions, handle appeals and concerns, issue certificates, maintain public records, and administer recipient responsibilities. Order information is used to fulfill and support the separate transaction.

Marketing contact is not a condition of applying or receiving free award benefits. Application evidence is not used as marketing content merely because it has been submitted.

Confidential evidence and access

Detailed formulation and supporting records are restricted to authorized personnel and service providers who need them for the relevant task. Reviewers receive access to assigned cases and are subject to confidentiality and conflict requirements.

Sales personnel do not receive confidential review evidence or scoring access as part of fulfilling physical-item orders. Identify confidential files and provide a separate description for publication. Do not submit identifiable patient information or records you have no right to share.

Information made public

An approved award record publishes the product and responsible company, reviewed version, category, criteria version, dates, basis and scope of recognition, material limitations or disclosures, and current status. It does not publish the confidential formulation dossier or declined application records.

Historical records are maintained so certificates can be checked after an award expires or changes status. Public information may be indexed by search engines and accessed outside the applicant’s country.

Service providers and processing locations

Cloudflare provides website hosting, application storage, file storage, and transactional email infrastructure. Information may be processed in the locations where these services operate. Confidential application files are held in private storage and accessed through authorized accounts.

The website does not collect payment-card details in applications or contact forms. For questions about service providers, processing locations, or international transfers, use the privacy contact form.

Service providers may process information only for the relevant service. Confidential evidence is not authorized for unrelated advertising or model training.

Retention

Unsubmitted drafts are scheduled for deletion after 180 days without activity, following a further 30-day notice period. Evidence for unsuccessful, withdrawn, or incomplete applications is ordinarily retained for 24 months after final closure.

Award evidence and decision records are retained for seven years after the later of the final term’s end or final status decision. Necessary public award history is retained for ongoing verification. Order financial records are ordinarily retained for seven years, subject to applicable requirements. Routine security logs are generally retained for 12 months; records relevant to an incident may be retained with that case.

Legal obligations, a dispute, or a preservation requirement may extend a relevant period. Deletion from backups follows the applicable backup-retention cycle rather than immediate removal from every historical copy.

Your requests

Use the privacy contact route to request access, correction, deletion, or another right available under applicable law. ASA may need to verify your identity and authority. A request does not necessarily require removal of an accurate historical award record or records that must be kept; the response will explain any applicable limits.
